Refund & Concellation Policies

Cancellation Policy:

  • Cancellations must be made in writing to the conference secretariat.
  • Cancellations received on or before 90 days to the conference will be eligible for a 75% refund.
  • Cancellations made between 90 to 45 days prior to the conference are eligible for a 50% refund.
  • No refunds will be issued for cancellations received within 45 days of the conference
  • Accommodation cancellations also must be sent through a written email prior 2 months of the conference.

Transfer or Substitution Policy:

  • Registrations are transferable to a colleague at any time prior 1 month to the conference or can transfer to another event within the organization in the next 12 months at no additional cost.
  • Requests for substitutions must be made in writing to the conference secretariat by providing all the details of substitute person including the abstract submission.
  • Token amount registration fees and virtual participation fees are non-refundable but can be transferred to future events within the organization or to other events hosted by us.

Refund Policy:

  • Refunds are subject to administrative and processing fees.
  • Refunds will be initiated and processed within 2 months after the conference.
  • Refunds will be issued in the same form as the original payment.

Force Majeure:

  • Vivid Global Summits reserve the right to cancel the conference due to unforeseen circumstances beyond our control, such as natural disasters, acts of terrorism, or other emergencies.
  • In such cases, we will make every effort to reschedule the conference, and registrations will be transferred to the rescheduled event.

No Show Policy:

  • No refunds will be issued for registrants who do not attend the conference due to the personal issues (such as travel, health, financial and VISA issues).

Cancellation/Postponement of Conference

  • In the event of cancellation or postponement due to unforeseen circumstances, registered attendees will be notified promptly and we will make every effort to reschedule the conference.
  • Refunds will be provided after deducting expenses already incurred by the conference and we are not responsible for any additional costs, including travel or accommodation expenses, incurred due to the cancellation or postponement of the conference.

Consent to use Photographic, Video and Audio Recordings:

  • By registering for the conference, attendees consent to the use and distribution of their image, voice, and likeness for promotional purposes. Including but not limited to website content, social media, and marketing materials.

Conference Date and Place Statement:

  • The conference dates and location are subject to change. Any changes will be communicated to registered attendees through email.
  • The conference organizers are not responsible for any travel or accommodation expenses incurred due to changes in dates or location.
